Developing a Board Meeting Agenda
A productive board meeting relies on a well-crafted agenda. A good agenda for a board meeting includes all the important items that must be discussed in the meeting, along with the time estimation for each item so the board is able to stick to its schedule and not overrun.
In addition, to the outlined items your agenda for board meetings should also include any other documents that are relevant to the discussion (such as reports of the board or presentations). It’s also recommended to distribute all of these in advance at least one week prior to the scheduled date. This will allow the members to review materials prior to the meeting and be prepared for discussions on the agenda.
It is essential to clearly define the next steps following the discussion of each item by the board. This will ensure that everyone understands who is responsible for each item, and also helps to ensure that the responsibilities of everyone on the board.
It’s common for a board meeting to deviate from the topic or go over the amount of time allotted to each subject. While it’s okay to occasionally do it however, if it’s a regular occurrence, the board could be ignoring important issues or wasting time focusing on non-essential issues.
Make sure your board agenda follows a clear flow and also includes spaces for announcements such as congratulations, celebrations, and reminders. Don’t be afraid to be innovative! You can incorporate some colors or your company’s logo. This will make your board agenda more appealing visually and easier for board members to follow.
